Report + Support is a tool where staff, students and members of the public can report issues. You can tell us with contact details to access support or tell us anonymously.
We do not know who has made an anonymous report, and therefore cannot reach out and provide support. If someone wants to receive support or consider informal or formal options to address a concern, they would tell us with their contact details.
Anonymous reporting and how we use this information
Operational staff will start by reviewing the report and identifying any risks related to duty of care. If the information provided falls under Cardiff University's safeguarding policy and a vulnerable individual is at risk of harm, the administrator will remove any identifiable information about the individual or those they are reporting, but this redaction will only occur in accordance with the University's data retention policies and after a period during which the data has been thoroughly analysed.
However, the information is crucial for the University to monitor trends and develop responses. The Dashboard Administrator will add anonymous reports to a database, enabling the University to identify trends over time. This can help create a proactive approach to address identity-based harassment. For instance, anonymous reports could prompt the University to initiate anti-harassment or anti-bullying campaigns or training sessions across schools, colleges, or the entire University. These anonymous reports can be the sole source of information for the University to understand what types of sexual misconduct, harassment, bullying, and hate crimes are occurring on campus. Therefore, they are essential to our efforts to end these forms of abuse.
Where analysis of an anonymous report which identifies individuals indicates that the University is required to take action, information will be shared with the relevant department, such information will be restricted to what is necessary for them to undertake the appropriate action in line with other university procedures.
If a report is found to be malicious or vexatious, such reports will be addressed under existing student and staff procedures.
Referrals with Contact details
Members of Student Support Intervention Team (SSIT) and Human Resources (HR) are provided with a login and can only access cases that are assigned to them. They will receive an email notification once a case has been assigned to them, no identifiable information is provided within this email alert. They will then log into Report + Support to access the information provided.
If the referral is about a student, a member of the SSIT team will contact the individual who has made the report to acknowledge the referral and ask for further details if required.
If you are a member of staff a member of your local HR team will be in contact with you to discuss the report.
Data security and retention
Data held on Report + Support is GDPR compliant and further information about how data is collected and stored is outlined in the Privacy Notice. The system has been security tested by both the developer, Culture Shift, and by Cardiff University.
We will only retain personal data for as long as necessary to fulfill purposes we collected it for. All personal data will be kept according to the Records Retention Schedule.
